Home / Privacy Policy
Last updated: 28 September 2026
This policy explains how Thompson Group Insurance handles personal information when you use thompsongroupinsurance.com, ask for a quote, subscribe to notes, or write to a guide. It sits beside our Terms & Services. We wrote it in plain language because insurance already contains enough dense paper.
The forms on this website are designed to run in your browser. They check that a name, email, and message look complete, then show a confirmation on the page. They are not a filing cabinet. Please treat anything you type as information you are choosing to share with us by email follow-up, and do not place medical files, payment card numbers, or full policy numbers in a form field.
Thompson Group Insurance is responsible for personal information collected through this website and through the advisory conversations that start here. When an insurer receives an application, that insurer becomes responsible for the information inside its own systems and must give you its own privacy notice. We will point you to that notice before you submit an application we helped prepare.
Questions about this policy can be sent to hello@thompsongroupinsurance.com. Put “Privacy” in the subject line so the note reaches the right desk.
Quote and contact forms ask for your name, email address, the kind of help you want, and a message. Subscribe forms ask for your name, email address, the topics you want, and a confirmation that you agree to hear from us. Unsubscribe forms ask for the email on the list, a reason, a short note, and a confirmation that you want the notes to stop.
If a conversation continues by email, we may ask for details an insurer needs in order to price cover. Depending on the product, that can include ages of people to be insured, a preferred excess, trip dates, a pet’s age and breed, a rough rebuild figure, the drivers who use a car, or whether anyone has had a recent claim. Give only what the question asks. If a detail is sensitive, such as a diagnosis, wait until we agree it is necessary and how it should be sent.
You may also send a testimonial. We publish testimonials only with permission, and we can remove your words from the page if you later ask us to.
Like most websites, the server that hosts these pages may briefly log technical details such as browser type, the page requested, and the time of the request. We use those logs to keep the site available and to understand which guides people actually read. We do not use them to build a advertising profile of your health or your family, and we do not sell browsing histories.
If we later add optional analytics or a cookie that remembers a preference, we will describe it in this policy before it is used for anything beyond what is needed to display the page. You can control cookies through your browser. Blocking cookies should not stop you from reading the pages or sending a form.
We use the details you submit to answer you, prepare a proposal, match a guidance plan, introduce an insurer where you ask us to, remind you of a renewal you asked us to watch, and improve the clarity of our explanations. We also use them to keep records of what we told you, which protects both of us if a summary is later questioned.
The reasons, in everyday terms, are these:
We do not use your quote details to make automated decisions that enroll you in a policy. A person reads the message. Insurers may use their own underwriting systems once an application reaches them. Those systems are described in the insurer’s notice, not in this one.
Optional emails about renewal habits, excess choices, and claim checklists are sent only if you subscribe or if you are already a client and the note is a fair part of the service you asked for. Every marketing note will tell you how to stop. The unsubscribe page is the direct way. Stopping marketing notes does not stop a reply to a quote you requested, and it does not cancel an insurance policy.
We do not sell personal information and we do not trade email lists with other agencies. We do not ask you to share this site’s forms on someone else’s behalf in exchange for a reward.
We share personal information with people who need it to do the job you asked for, and only as far as they need it.
A clinic, a repair shop, or a veterinary practice receives information only if you involve them, for example by asking us to help assemble a claim file you will send. We do not surprise those offices with your records.
If we ever reorganize the practice, a successor that continues the same advisory work may receive the records needed to look after active clients. We will tell active clients when that kind of change happens.
We keep quote messages and advice records for as long as we need them to finish the request, to show what we recommended, and to meet retention duties that apply to insurance intermediaries. Marketing details are kept until you unsubscribe and for a short period afterward so we can show that we honored the request. Server logs are kept for a shorter operational period and then deleted or aggregated.
When a retention period ends, we delete the information or anonymize it so it can no longer be tied to you. Copies may remain in encrypted backups until those backups roll forward. We do not use backup copies for everyday work.
We limit access to client notes to guides who are working on them, we expect those guides to use locked screens and unique passwords, and we do not ask you to send payment card numbers to our inbox. No method of storage or email is perfect. Please help by using a current browser, by avoiding public computers for quote forms, and by telling us promptly if you believe an email thread has been exposed.
If we learn of a breach that creates a real risk to people whose information we hold, we will tell those people and any authority that must be told, as the applicable rules require. We will describe what happened in plain language and what you can do next.
Depending on where you live, you may have the right to ask what personal information we hold, to correct it, to delete it, to restrict or object to certain uses, to receive a portable copy, or to withdraw a consent. You can start any of those requests by emailing hello@thompsongroupinsurance.com. We may need to confirm that the requester is you before we release or change a file.
We will not delete information we are required to keep for an insurance record, a dispute, or a legal claim, but we will limit it to that purpose. If you ask us to correct a fact that was passed to an insurer, we will also tell the insurer when the correction matters to a quote or a policy.
You may lodge a complaint with the privacy authority where you live if you believe we have handled information badly. We ask that you write to us first so we can try to fix the issue. That request does not remove your right to go to the authority directly.
This website is meant for adults arranging cover, including parents who ask about a child, a student, or a dependent. We do not knowingly collect personal information directly from children. If you believe a child submitted a form, email us and we will delete the submission unless we must keep a fragment to show that we responded and closed it.
Health or life cover for a minor is discussed with the parent or guardian. We ask only for the details an insurer needs, and we encourage families not to place clinical documents in an open email.
Health details, information about a child’s care, and sometimes details of a claim are sensitive. We collect them only when they are necessary for the quote, the policy, or the claim you asked us to help with, and only with your knowledge. Pet medical history can feel just as private. Treat it with the same care: send it when a question requires it, not before.
We do not use sensitive information for optional marketing. A subscribe checkbox never asks you to describe a diagnosis. Topic choices such as “health and family cover” are categories, not medical records.
Email providers and insurers may process information in more than one location. When information moves to a provider that sits somewhere with different privacy rules, we take steps appropriate to the risk, such as contractual promises and access limits. We do not move files casually, and we do not publish a map of every server. If you need to know whether a particular insurer stores applications outside your home region, ask us during the proposal and we will point you to that insurer’s notice.
Pages may link to insurers or to reference reading. If you leave thompsongroupinsurance.com, this policy no longer applies. Sharing buttons open the sharing page of the service you choose and pass the public address of our site, not the contents of your quote. Do not include personal details in a share message.
We do not embed advertising networks on these pages. If that ever changes, this policy will change first, and the new tools will be described in language as specific as this section.
If you give us permission to quote you, we will use the name and product type you approve, and a portrait only if you supply one for that purpose. The photographs already on the site are general scenes of families, travel, homes, pets, and work. They are not a gallery of clients. Please do not send us a photo of a child for publication.
We will update this page when our practices change, and we will change the date at the top. If a change affects how we use information we already hold for marketing, we will ask again where the law requires a fresh agreement. Continuing to browse after an update means you have the new policy available. An advice relationship already underway also follows the policy we provide to you at the time, including any notice of change we send to your email.
Each form checks that required fields are filled, that the email looks like an email, and that a message is long enough to be useful. A consent box must be ticked where the form asks for one. The subscribe form also asks you to choose at least one topic. If something is missing, the page marks the field and does not pretend the note was sent. When the checks pass, the page shows this confirmation: “Thank You! one of our representative will contact you”. That sentence means a person should follow up by email. It is not a policy number and not proof of cover.
Privacy questions, correction requests, and complaints go to hello@thompsongroupinsurance.com or the contact form. Tell us the email address you used so we can find the right note. We will reply in writing. We will not ask you to verify your identity by sending a password or a payment card.
Thank you for trusting us with the details that make a quote honest. We keep the ask as small as the decision allows, and we would rather pause a question than collect a fact we do not need.
